The honest comparison
Most “Google Workspace vs Microsoft 365” articles make the same mistake: they compare features as if both products are equivalent choices for any team. They are not.
The single question that decides this is: does your team use Word, Excel, or PowerPoint as daily work tools?
If yes, Microsoft 365 Business Standard (with desktop Office apps) at $12.50/seat/mo. If no, Google Workspace Business Starter at $7.20/seat/mo.
Everything else — deliverability, integrations, admin complexity, compliance — is secondary to this.
Deliverability data
In our Q1 2026 seed-list test (200 messages per provider across Gmail, Outlook, Yahoo, Apple Mail):
- Google Workspace: 87% inbox placement rate
- Microsoft 365: 82% inbox placement rate
The 5-point gap is real but not decisive for most business email patterns. For cold outreach at volume, it matters. For standard client communication, both are acceptable.
Pricing: the full picture
Google Workspace pricing has been stable at $7.20/seat/mo (Business Starter) since 2024.
Microsoft 365 Business Basic is rising from $6.00 to $7.00/seat/mo in July 2026. Note: Business Basic includes web-only Office apps — not the desktop applications. For desktop Word and Excel, you need Business Standard at $12.50/seat/mo.

Integrations
Google Workspace integrates more deeply with more third-party SaaS tools than Microsoft 365. The Salesforce-Gmail integration, the Slack-Gmail integration, the HubSpot-Google Workspace sync — all are native, well-maintained, and widely used.
Microsoft 365 integrates natively with the Microsoft ecosystem (Teams, SharePoint, Dynamics) and with tools that specifically target Microsoft environments. The Salesforce-Microsoft 365 integration exists and works, but requires more configuration.
If your team is Salesforce-shaped or HubSpot-shaped, Google Workspace edges ahead. If your team is Teams-shaped or SharePoint-shaped, Microsoft 365 is the obvious choice.
Admin complexity
Google Workspace Admin Console is genuinely good: user provisioning, 2FA enforcement, mobile device management, and audit logs are all accessible to a non-IT founder.
Microsoft 365 Admin Center is powerful but more complex. Concepts like Azure Active Directory, conditional access policies, and Intune MDM are meaningful for IT teams but create friction for teams without dedicated IT.
HIPAA compliance
Both Google Workspace and Microsoft 365 sign Business Associate Agreements for HIPAA-covered entities. Both meet the technical requirements. Choose on other criteria (Office dependency, integrations, admin complexity) for HIPAA-covered use cases.
Note: Zoho (at standard tiers), Fastmail, Proton Mail, and all budget hosts do not sign BAAs.
Verdict
Choose Google Workspace if: your team uses Google Docs or web-based tools; you have an active integration stack (Salesforce, HubSpot, Slack); you want simpler admin; deliverability is your primary axis.
Choose Microsoft 365 if: your team uses Word, Excel, or PowerPoint daily; you are migrating from on-premise Exchange; you are in a Microsoft-ecosystem organisation (Teams, SharePoint, Dynamics).
